Bishop & Company is seeking an Administrative Specialist for a
Wealth Management Service department for a financial organization
in Honolulu.
Summary:
This is a role that would sit at the front desk. They would be
responsible for the administrative function of the department, in
addition to assisting with reporting duties.
Duties: Provides extensive staff and administrative support for
Wealth Management Group's
-Assists in the scheduling of committee meetings and maintains
important dates and deadlines
-Coordinates logistics for committee meetings, including room
reservations, virtual meeting setup, and notification to
attendees.
-Compiles, reviews, and distributes meeting materials to committee
members and other relevant parties. Coordinates additional review
of materials as needed.
-Prepares and distributes meeting agendas and minutes in a timely
manner.
-Acts as a point of contact for any questions and performs
follow-up.
-Assists in drafting committee-related correspondence, reports, and
presentations as needed.
Administers the Front Desk as the receptionist while providing
administrative support to other business units of the Wealth
Management Group
-Serves as central support for all phone inquiries, screening and
redirecting as necessary.
-Manages "in-person" pickup and deliveries.
-Coordinates all Total Wealth online set ups, password resets, and
secures technical support.
Provides other administrative support to the Wealth Management
Service Center
Reviews obituaries against the Wills & Trusts database and provides
files to Personal Trust as needed.
Processes vendor invoices and other staff expenses for payment or
reimbursement.
Maintains Wealth Management Group's Authorized Signature Lists
Frequent contact with personnel at all levels, including senior
management, Board of Directors, or Trustees.
Minimum Qualifications: High School diploma required.
3 years of experience in office administration required.
Familiarity with office administration and operations in a
financial institution.
Knowledge of wealth management (personal trust, institutional
trust, custody and agency administration) and other related bank
products and services preferred not required.
Additional Information: Job Type: Temporary with potential for
temp-hire
Pay: $21/hr
