the facilities management and custodial services department with
administrative support in a competent and professional manner. The
role requires the ability to manage several tasks simultaneously
while meeting deadlines with good organizational and interpersonal
abilities.ResponsibilitiesEssential Duties and Responsibilities
- Coordinates facilities management issues with HA real estate,
contractors and third parties to ensure coordination, reporting and
resolution of all property related issues.
- Acts as the delegated Facility Manager whenever so
directed.
- With NMS Facility Manager, assists with work scheduling and
communication to internal and external customers.
- Receive incoming work requests and enter data into Computerized
Maintenance Management System (CMMS) to generate work orders.
- Dispatches work orders to appropriate technician/subcontractor
as directed by the NMS Facility Manager.
- Dispatches custodial requests to appropriate custodial
personnel as directed by the NMS Facility Manager.
- Overall management of data in the CMMS system, generating
necessary reports, entering equipment data, and preventive
maintenance schedules into the system.
- Process subcontractor invoices.
- Load equipment/location data into CMMS system to build asset
base as received by technicians and subcontractors.
- With NMS Facility Manager, technicians, subcontractors and
client administration, the employee builds preventative maintenance
scope and frequency for tracked equipment within CMMS system.
- Track and manage subcontractor insurance certificates, ensuring
that all utilized subcontractors have appropriate levels of
insurance that are up to date and in force.
- Track and maintain records of actual hard costs of labor,
material, subcontractor and equipment for accurate billing.
- With NMS Facility Manager, assists with reconciliation,
verification, and accuracy for monthly billing invoice for
client.
- This position is responsible for the supervision of staff.
- Subject to on call status and emergency callbacks whenever
required.
- Inspects completed work orders for quality assurance.
- Inspects work areas for potential hazards and informs the FM of
all issues identified.
- Other duties that are pertinent to the department or unit's
success also may be assigned.
- In-depth understanding of a range of processes, procedures,
systems, and concepts within own job function and basic knowledge
of related job functions required.
- Requires the ability to explain complex concepts or sensitive
information.
- Demonstrated high level of customer service in both written and
verbal applications.QualificationsMinimum Requirements
- Three (3) years' management experience in facilities
maintenance.
- A High School Diploma or GED equivalent.
- A valid Driver's License and an acceptable driving record for
the past three (3) years to be eligible under NMS' vehicle
insurance policy.
- Advanced level experience using Microsoft Office, Word, &
Excel, Adobe.
- Must be fluent in speaking, reading, and writing
English.Preferred
- Three years' experience in facility management for a Class A
building setting.
- Previous experience operating a CMMS and IFMS (integrated
facility management system).
- Knowledge of OSHA's rules/regulations for both maintenance &
construction.
- Knowledge of construction materials, terminology and supplies.
Ability to read & interpret blueprints, schematics, etc.Working
Conditions and Physical RequirementsWeather: Indoors and outdoors.
Hot and humid conditions are normal.Noise level in the work
environment is usually that of a standard office
atmosphere.Description of environment: Standard office
environment.Physical requirements: Employee is required to
